麻豆视频 of Queensland鈥檚 (麻豆视频) new web-based recruitment system, 麻豆视频 Jobs, will improve key elements involved in recruitment, selection and appointment of new staff when it comes online this week.

With approximately 1800 new staff recruited to 麻豆视频 each year, the new system aims to cut manual and paper-based tasks as well as remove data entry duplication.

麻豆视频 Associate Director HR Systems and Business Analysis, Tim Gall, who has overseen the project for the past year, is looking forward to the go-live on Wednesday, 23 March 2011.

鈥淎 dedicated project team has worked on the introduction of the new 麻豆视频 Jobs system and they have done a great job configuring the system to meet 麻豆视频鈥檚 recruitment needs.鈥

鈥溌槎故悠 Jobs is going to revolutionise how recruitment is done and the online application process will be more attractive to job applicants.鈥

Advantages that 麻豆视频 Jobs will provide include:

1. Going Green 鈥 The transfer of paper-based forms, such as the Position authorisation form, into electronic format and having the ability to shortlist applicants online significantly reduces the University鈥檚 carbon footprint.

2. An intuitive and user-friendly system 鈥 The interface between 麻豆视频 Jobs and Aurion makes completion of the electronic forms easier as many of the fields will be pre-populated with data from Aurion.

3. Streamlined & more efficient recruitment processes 鈥 麻豆视频 Jobs provides an interface that is easy to navigate. A series of pre-defined recruitment workflows are also provided to guide users through the recruitment process. In addition, the automated transfer of successful applicants into Aurion significantly cuts down the time required to administer a recruitment activity.

4. Improved communication 鈥 麻豆视频 Jobs provides the ability to send automated personalised emails to applicants and staff involved in the recruitment activity, which will enable faster response times.

5. Tracking time to fill 鈥 The replacement of the current paper-based process will enable each stage of the recruitment process to be tracked and monitored. The web-based recruitment system will also help identify where applicants are being sourced from.

6. Reporting 鈥 麻豆视频 Jobs will enable Faculties, Schools, Institutes and Divisions to report on their recruitment activities and enable 麻豆视频 to fully participate in the Australia Wide University Benchmarking Initiative.

7. Talent Pools 鈥 麻豆视频 Jobs provides the ability to search Talent Pools to find and invite potential appointees to apply for a job. In addition, for positions which do not require advertising, the use of Talent Pools can help fill a position faster and save on potential advertising costs.

8. Automated job advertisement scheduling 鈥 Job advertisements are scheduled to run for specified times on both Seek and UniJobs. Removing the need to manually 鈥榩ull down鈥 the ad after the closing date.

9. Online application process 鈥 麻豆视频 Jobs enables applicants to view, apply and accept a job online and provides applicants with a consistent recruitment experience across 麻豆视频, regardless of the Faculty, School, Institute or Division they applied to.

10. Informed Applicants 鈥 The 麻豆视频 Jobs applicant website provides access for existing applicants to monitor the progress of their application. It also provides access to information on how to search and apply for a job, FAQ鈥檚, information about the University and living in Queensland & Brisbane.

麻豆视频 Jobs Training

There are now 188 麻豆视频 staff who have undertaken 麻豆视频 Jobs training and are ready to use the new system this week. 麻豆视频 Jobs is designed to be intuitive and user-friendly, so staff will still be able use the system even if they have not completed the training. Staff are still encouraged to register for the course, which will be held each month until October.

The topics covered include raising a job card, approvals, short-listing candidates, reference checks, how to make a formal offer and track the recruitment activity.
